GDPR (general data protection regulation) came into force in the UK in May of 2018 and replaces what is currently the Data Protection Act. GDPR requirements mean all businesses, regardless of their size, must comply with the new regulations. This includes a privacy statement freely available to anyone that wishes to see it. Our statement is below. Any questions that relate to your data, or how we store or process this, should be directed to the club owner using any of the methods available for contact in the "Contact" section of this website.
Statement
The sole owner, Scott Rayner, runs the club based in Surrey, UK. We are not owned by or affiliated with any other club.
Collecting data
We collect your data when you register your child to train with Rayner Karate.
We collect:
· Identification data: your first and last name, child first and last name, child date of birth, child school attending, legal guardian first and last name and legal guardian’s relation to child;
· Contact data: email address or other electronic contact details, address, phone number;
· Special categories of data: child medical data and any special requirements (when providing it to us during registration for safety and wellbeing purposes)
· Pictures & Videos (when giving us your consent on the registration form, to take and use pictures and videos for the sole purpose of Rayner Karate)
· Additional records may be kept if first aid has been administered.
How we use collected information
We may use your personal data to send you information and updates regarding your child’s club with Rayner Karate including grading and holiday club details. It may also be used to respond to your inquiries, questions, and/or other requests.
In the event of a concern of child protection, bullying or breach of the Law, your details will be provided to the relevant law enforcement agencies. However this is only in extreme circumstances and only with regards to the protection of our members or their children.
How long to we keep data for?
We keep this data as long as needed to perform our financial, accounting and other legal obligations. We keep your data for five years after the end of your last interaction with Rayner Karate.
Licence and Insurance
Children who grade with Rayner Karate will require a licence and insurance provided through MAGB (Martial Arts Great Britain). With your consent, Rayner Karate will share your personal details with MAGB, for the purposes of registration and insurance. MAGB will never sell or share any of your details, to anyone, for any reason other than those stated above. Rayner Karate does not directly collect, process or store financial information for payments for classes or insurance.
How we protect your data
We have put in place appropriate security measures to prevent your personal data from being accidentally lost, used or accessed in an unauthorised way, altered or disclosed. In addition, we limit access to your personal data to those employees, and other third parties (MAGB) who have a business need to know such data. They will only process your personal data on our instructions and they are subject to a duty of confidentiality.
We have put in place procedures to deal with any suspected personal data breach and will notify you and any applicable regulator of a breach where we are legally required to do so.
Rayner Karate stores all of your details on a secured computed device that is password protected. Access to this data is limited to the club owner.
Paper copies of forms provided are also stored in the Club's registered address, using a locked storage facility. Access to this is restricted to the club owner.
We will never sell or share any of your details, to anyone, for any reason other than those stated above.
